Flat Fee vs Percentage Property Management: The Real Math

Property Management in Phoenix, AZ

A flat-fee property manager charges the same dollar amount every month no matter what the home rents for, while a percentage manager charges a share of the rent, usually 8% to 10% in the Phoenix area. Flat fee almost always costs less on paper, and the gap grows as rent rises. Percentage plans earn their price when they include things a flat plan leaves out, such as fewer add-on fees or landlord protection. Below we run the numbers both ways at $1,800, $2,400 and $3,200 rent using Property Plus USA’s actual plans.

How each pricing model works

Flat-fee management

You pay a fixed amount each month. Property Plus USA’s Basic plan is $75 a month whether the home rents for $1,500 or $3,500. Flat-fee plans often cover the core work (rent collection, statements and maintenance coordination) and charge separately for items like file setup, renewals or commissions. Basic follows that pattern: a $199 file setup, $199 lease renewal and $200 realtor commission, on top of the $500 leasing fee every plan has.

Percentage-based management

You pay a percentage of the monthly rent, so the fee moves with the rent. Property Plus USA offers two:

  • Traditional: 8% of rent with an $89 minimum. No marketing fee, no realtor commission and no file setup fee. Renewal is $150.
  • Property Plus: 10% of rent with a $125 minimum. No marketing, renewal or file setup fees. Includes landlord protection up to $50,000 when we place the tenant, plus 2 interior and 2 drive-by HomeCare Checks per year.

The math at three rent levels

Monthly management fee

  • $1,800 rent: flat $75 vs 8% = $144 vs 10% = $180
  • $2,400 rent: flat $75 vs 8% = $192 vs 10% = $240
  • $3,200 rent: flat $75 vs 8% = $256 vs 10% = $320

Annual difference compared with the $75 flat fee (management fee only)

  • $1,800 rent: Traditional costs ($144 − $75) x 12 = $828 more per year. Property Plus costs ($180 − $75) x 12 = $1,260 more.
  • $2,400 rent: Traditional costs ($192 − $75) x 12 = $1,404 more. Property Plus costs ($240 − $75) x 12 = $1,980 more.
  • $3,200 rent: Traditional costs ($256 − $75) x 12 = $2,172 more. Property Plus costs ($320 − $75) x 12 = $2,940 more.

First year with one new tenant, all fees included

Here the flat plan’s add-on fees narrow the gap:

  • Basic (any rent): $900 management + $500 leasing + $199 setup + $200 realtor commission = $1,799
  • Traditional: $1,728 + $500 = $2,228 at $1,800; $2,304 + $500 = $2,804 at $2,400; $3,072 + $500 = $3,572 at $3,200
  • Property Plus: $2,160 + $500 = $2,660 at $1,800; $2,880 + $500 = $3,380 at $2,400; $3,840 + $500 = $4,340 at $3,200

At $1,800 rent, the year-one difference between Basic and Traditional is only $2,228 − $1,799 = $429.

Is there a break-even rent?

Not on these plans. An 8% fee would equal $75 at $937.50 of rent, but the Traditional minimum is $89, so it never drops below the flat fee. In pure fee terms, the $75 flat plan costs less at every rent level. The real question is what the extra dollars on a percentage plan buy you.

A two-year view at $2,400 rent

Most owners hold for years, so look past the first lease. Assume one new tenant in year one who renews for year two:

  • Basic: $1,799 (year one) + $1,099 (year two: $900 + $199 renewal) = $2,898
  • Traditional: $2,804 + $2,454 (year two: $2,304 + $150 renewal) = $5,258
  • Property Plus: $3,380 + $2,880 (no renewal fee) = $6,260

What the percentage plans add

Fewer line items

Traditional removes the file setup fee and the realtor commission and lowers the renewal fee from $199 to $150. Property Plus removes the renewal and setup fees entirely. If you like a single predictable percentage with very few extra charges, that simplicity has value of its own.

Risk protection

Property Plus is the only plan with landlord protection. When Property Plus USA places the tenant, it covers:

  • Tenant vandalism up to $50,000
  • Theft up to $25,000
  • Lost rent during an eviction, up to 2.5 months
  • Tenant skip, up to 2 months
  • Service-animal damage
  • Wrongful-eviction lawsuit defense

To weigh that, compare one bad event against the yearly cost. At $2,400 rent, Property Plus costs $1,980 a year more in monthly fees than Basic. A single eviction with 2.5 months of lost rent is $2,400 x 2.5 = $6,000 of rent, and a tenant skip at 2 months is $2,400 x 2 = $4,800. One covered event can outweigh two or three years of the fee difference.

Eyes on the property

The HomeCare Checks (2 interior and 2 drive-by per year) give you a regular look at condition between move-in and move-out, which matters most to owners who live out of state.

Which model fits you?

Choose a flat fee if:

  • Your rent is higher and you want the fee to stay fixed as rent grows.
  • You keep cash reserves for repairs, vacancy and a possible eviction.
  • You mainly want professional leasing, rent collection and maintenance coordination.

Choose a percentage plan if:

  • You want fewer separate charges (Traditional or Property Plus).
  • A single eviction, skip or damage claim would strain your finances (Property Plus).
  • You live far away and want scheduled inspections (Property Plus).

Every plan includes ARMLS marketing, tenant screening, online rent collection, move-in and move-out inspections, monthly and year-end statements, and ACH deposits through the Rentvine owner portal.

Questions to ask any manager about pricing

Whether you talk to us or anyone else, get answers in writing:

  • Is the percentage charged on rent collected or rent due?
  • What is charged when the home is vacant?
  • What does the leasing fee include, and is there a separate marketing fee?
  • What does a renewal cost?
  • Are there markups on maintenance invoices?
  • How is the agreement cancelled, and is there a cancellation fee?

Arizona requires the management agreement to spell out compensation and cancellation terms (A.R.S. 32-2173).

Frequently asked questions

Is flat-fee property management cheaper than a percentage?

On fees alone, usually yes. Property Plus USA’s $75 flat Basic plan costs less than the 8% and 10% plans at every rent level, because the 8% plan has an $89 minimum.

What percentage do property managers charge in Arizona?

Percentage plans in the Phoenix area commonly fall in the 8% to 10% range. Property Plus USA offers 8% (Traditional, $89 minimum) and 10% (Property Plus, $125 minimum).

Why would I pay 10% when a flat fee is available?

For what it adds: no renewal or setup fees, landlord protection up to $50,000 when we place the tenant, and 4 HomeCare Checks a year. One covered eviction or tenant skip can be worth more than the yearly difference.

Does a flat fee mean no other fees?

Not necessarily. Our Basic plan has a $199 file setup, $199 renewal and $200 realtor commission, plus the $500 leasing fee all plans have.

How much more is 8% than $75 on a $2,400 rental?

8% of $2,400 is $192 a month, which is $117 more than $75, or $1,404 more per year in management fees.

Can I switch plans later?

Ask us when you sign up how plan changes work for your agreement. Plan terms are set out in your written management agreement.

Do all plans include tenant screening and marketing?

Yes. All three plans include rental pricing, marketing with an ARMLS listing, tenant screening, leasing, online rent collection and maintenance coordination.
